Managed
Your complete acquisition system. Built, run and improved — with you.
Managed is not a software plan with a support hotline. You get a team that plans, builds, runs and continuously improves your acquisition system with you every week — from a custom lead crawler and enrichment to scripts, automations and dashboards. Like hiring five people: two engineers, two customer managers and someone with years of experience who joins at the critical points.

Five people instead of one.

What Managed is
The comparison you're already making in your head: hire an agency, hire a person, or Managed. We take responsibility for the outcome of your setup, not just for the software.
| Agency | Own employee | Managed | |
|---|---|---|---|
| Coverage | Consultant plus rotating implementers | One person, one skill profile | 5 people: founder, 2 engineers, 2 customer managers |
| Knows your CRM and numbers | Sees reports, doesn't work in the system | Yes, after onboarding | Yes, works directly in your CRM |
| Lead sourcing | Bought lists or extra budget | Has to scrape or buy | Custom crawler + enrichment included |
| Response time | Ticket, 1–3 days | Immediately, when present | WhatsApp < 4h, fixed weekly call |
| Further development | New quote per change | Depends on one person | In the package, planned in the weekly call |
| Fixed cost per month | €3,000–6,000 retainer | €6,000+ all-in | €3,500 incl. 10 seats |
| Productive from | 4–8 weeks | 3–6 months | 8 weeks |
| If the person leaves | New consultant, new onboarding | Knowledge gone, rehire | System and docs stay, team takes over |
What Managed is not
- Not a call center. Your team makes the calls. We make sure it has the right leads, the right script and the right process.
- Not a one-off setup with handover. We stay as close after go-live as before.
- Not an unlimited agency wish list. The scope is defined in the project contract. What's in, we deliver completely. What's new, we discuss in the weekly call and schedule.
- Not a replacement for your leadership. Goals, sales strategy and staffing stay with you. We deliver the numbers and recommendations for it.
Who sits at your table
A single employee can't build crawlers, write scripts and read numbers at the same time. With Managed, five people work on your system — each where they are best. Customer success and engineering carry the day-to-day. Years of experience join exactly when they make the difference.

Founder
Till Ebsen
Has built and run cold-calling teams, crawlers and CRM setups for years. Not in the day-to-day, but at the points where experience counts.

- Discovery workshop and ideal customer profile
- Go-live sign-off

- API and webhook integrations
- Monitoring, same-day incident fixes

Customer success
2 customer managers
Your fixed contact in daily work. Sits in your CRM, knows your reps and runs the weekly call. The second person knows your setup and steps in during holidays and sickness.
When and for what
- Weekly call and weekly report
- WhatsApp in business hours
- Scripts, lists, campaigns
- Team onboarding and training
- Dashboards and analyses
| Situation | One person | Managed team |
|---|---|---|
| Crawler fails on Friday afternoon | Waits until the person has time and knowledge | Engineer fixes it, customer success keeps you posted |
| Contact on holiday | Two weeks standstill | Second customer manager takes over, knows your setup |
| Strategic question: new market, new offer | One person's gut feeling | Till with experience from many setups |
| New source or integration needed | Has to learn it first | Engineers have built it before |
What we build for you
Eight building blocks that together form your acquisition system. Each is tailored to you, none is optional, because only the interplay makes the difference.

Lead-gen crawler
We build a crawler that harvests exactly the sources where your ideal customers appear — industry directories, Google Maps, job boards, ad libraries, trade-fair lists, associations or your own data sources.
- Source research together with you: where are your customers visible before they buy?
- Development of the crawler including proxy rotation, fingerprinting and rate limits so it runs stably and permanently.
- Deduplication against your existing base so nobody gets called twice.
OutcomeA continuous inflow of new, well-matched companies straight into your CRM.

AI enrichment pipeline
Raw company data is not enough to call. The pipeline fetches what your team needs in the conversation for every lead.
- Imprint, website, management, decision-makers with position, email and direct dial where available.
- Individual criteria as custom fields: headcount, tech stack, locations, reviews, open positions — whatever counts for your qualification.
- A score that sorts leads by fit so the queue starts with the best ones.
OutcomeEvery lead arrives in the CRM ready to call: contact, context, priority.

Lists and segments
The base becomes work queues that maintain themselves.
- Segmentation by industry, region, score, contact history and your custom fields.
- Auto-claim and auto-exclusions so two reps never collide and blacklist and follow-ups are respected.
- Campaign lists for actions, trade fairs or seasonal topics that we plan with you.
OutcomeEvery rep opens a list in the morning that contains exactly their next calls.

Call scripts
Scripts that know the context and work with your data.
- We write first contact, follow-up, objection handling and appointment reminders with you — based on your best conversations, not textbooks.
- Custom fields are inserted live into the script so reps read instead of search.
- Iteration based on call documentation: which wording leads to appointments, which to rejections?
OutcomeA script set that automatically shows the right thing in the call and gets better every week.

Workflows and automations
Everything that happens after hanging up happens automatically.
- Call Documentator: transcript, summary, outcome and filled fields without typing.
- Workflows on hang-up: follow-up email, calendar invite, pipeline step, follow-up task, Slack or Teams message.
- Connection to your systems via API and webhooks: ERP, accounting, existing CRM, marketing tools.
OutcomeReps make calls. The system documents, reminds and hands over.

- Dashboards per rep, per team and per campaign: dial attempts, reach rate, appointments, deals, talk time, outcome distribution.
- Analysis of call documentation by objections, topics and tags.
- Weekly report as the basis for the working call, quarterly review with recommendations.

Team onboarding and training
A system is only as good as the people using it.
- Roles and permissions according to your organization: reps, team leads, closers, back office.
- Training of the team in the real CRM with your data, not demo content.
- Onboarding of new reps as an ongoing service as long as the package runs.
OutcomeEveryone on the team knows what to do when in the CRM — and new colleagues are productive within days.

Training in the real CRM with real leads, not demo data.

One fixed contact, a team behind them
You have one fixed contact in customer success who knows your project from phase 1 and works in your CRM. No ticket system, no rotating consultants. Behind them sit two engineers for crawler, enrichment and integrations — and Till joins for milestone meetings, planning and critical decisions.
Weekly working call
Fixed time, 45 to 60 minutes, with a report in advance. We go through the numbers, listen to notable calls, decide on changes and implement small adjustments right in the call. Bigger items go into next week's plan.
WhatsApp in business hours
If a rep is stuck, a workflow doesn't fire or a list is empty, you message us. Reply within four hours on business days between 9am and 6pm, usually much faster. Urgent issues are fixed the same day.
We look ourselves
You don't have to tell us when something gets worse. We see it in the dashboards and call docs and come to the next call with a proposal. Reach rate dropped? We check call times and numbers. Appointments falling away? We listen to the calls.
Quarterly review
Every three months a longer session with management: what did the system deliver, what did we learn, what do we change next quarter? With metrics, comparison to the goals from phase 0 and a concrete action plan.
Further development included
New source for the crawler, new segment, new automation, new integration: part of the package as long as it stays within the agreed frame. You don't need to request quotes to develop your system further.
Who does what
Clarity avoids friction. This is how responsibilities are split in ongoing operation.
| Topic | Us | You |
|---|---|---|
Lead sourcing | Build, run, maintain the crawler, open up new sources | Feedback on lead quality in the weekly call |
Enrichment | Run the pipeline, adjust criteria, control costs | Tell us which information is missing in calls |
Lists and queue | Maintain segments, set up campaigns, manage exclusions | Set campaign goals and priorities |
Calling | Scripts, dialer settings, telephony setup | Make the calls |
Documentation | Call Documentator, fields, analyses | Nothing — it runs automatically |
Follow-up | Workflows, email templates, calendar, handovers | Approve templates, attend appointments |
Reporting | Dashboards, weekly report, quarterly review | Set goals, make decisions |
Team | Training, onboarding new reps, roles and permissions | Staffing, leadership, time for training |
Systems | API and webhook integrations, maintenance, monitoring | Provide access |
In operation: around 12 hours per week on our side, around 1.5 hours per week on yours.
A typical month in operation
This is what the collaboration looks like once the system runs. No longer a project, but routine.
- 1
Week 1
In the weekly call we notice the reach rate for one industry is below average. We check call times in the dashboards, move the campaign to the morning and add direct dials from a second source to enrichment. Implemented the same day.
Reach rate plumbing
18% → 27%
- 2
Week 2
A rep reports via WhatsApp that one objection keeps coming up. We listen to three calls, write an objection handler and build it into the script. We discuss it with the team in the call. Meanwhile the crawler starts on a new source we identified in week 1.
New in the script
Objection “We already have a provider”
- 3
Week 3
A new rep starts. We set up role, list and dashboard and do the onboarding in the real CRM. The weekly report shows the appointment rate rose after the script change; we roll the wording out to the other segments.
Onboarding
Rep #6 productive after 2 days
- 4
Week 4
Your sales team wants to follow up on a trade fair. We import the exhibitor list, run it through enrichment, build a campaign list with its own script and a workflow that automatically sends the follow-up email with booking link after the call. Done by the next call.

Is Managed right for you?
Yes, if
- you have or are building a team of roughly 3 to 15 reps and cold outreach should be a permanent channel.
- you regularly need new leads and don't want to buy lists or scrape yourself.
- you want someone external with experience in telesales operations to look at your numbers regularly.
- you have systems that need to be connected and no internal capacity for it.
- you want to go live quickly without first hiring someone for CRM and data sourcing.
Probably not, if
- you're looking for a call center that makes the calls for you.
- you prefer to configure the CRM yourself and only need occasional help — then Self-Service with the onboarding package is the better choice.
- you don't have a person who attends the weekly call and makes decisions.
- you don't want to commit to 12 months.
Frequently asked questions
- The results — the leads and data in your CRM — belong to you completely and stay with you, also after the contract ends. The crawler itself is operated and maintained by us because it only runs stably on our infrastructure. A handover of the source configuration at the end can be arranged in the project contract.
